Terms

Trucking Company
These are the trucking companies that transport the commodities.
Oil Companies
These are the oil companies where the commodities originate.
SWD Company
These are the dump sites that use the SWD app.
Commodities
These are items transported for disposal. Examples include salt water, flow back, production water, pit, gel and brine.
Wells
List of wells that shows the oil company, lease, field, well county code, well API number, and well lease number.
Pipelines
Direct line for disposal from the oil field to the disposal site.
Customers
Clients of the oil, trucking or disposal companies that will be invoiced for services provided.
Drivers
Trucking company drivers.

Roles

SWD Manager
These are individuals marked in their People record in the Permissions tab as Manager for Application Role - SWD. The SWD dashboard will have a Manager view with a navigation menu at the top that includes Create a Ticket, Pipeline Reading, Reporting, Settings, and Trakload (if subscribed to that feature). There will be stat "chips" on the page that link to reports for details of Truck Count, Barrels Dropped, and Pipeline Barrels.
SWD User
These are individuals marked in their People record in the Permissions tab as Users for Application Role - SWD. The dashboard will have an employee view that has all of the same features but a limited navigation bar with the following links for Home, Create a Ticket, and Pipeline Reading.
Trakload Manager
These are individuals marked in their People record in the Permissions tab as Manager for Application Role - TL. The Trakload dashboard will have a Manager view with a navigation menu at the top that includes Create a Ticket, Settings and a link to SWD Tracker (if subscribed to that feature). There will be stat chips on the page that link to reports for details of Deliveries Enroute, Deliveries Pending and Deliveries Completed.
Trakload User
These are individuals marked in their People record in the Permissions tab as Users for Application Role - TL. The dashboard will have an employee view that has all of the same features but a limited navigation bar with a link for Create a Ticket. They will see the same stat "chips" that Managers see.
Oil Company Manager
These are individuals marked in their People record in the Permissions tab as Manager for Application Role - Oil. The dashboard will have a Manager view with a navigation menu at the top that includes Request a Truck and Settings. There will be stat chips on the page that link to reports for details of Deliveries Enroute, Deliveries Pending and Deliveries Completed.

How To For Trucking Companies

Add and Edit Information in Settings

Commodities

  • Login to the Trakload application.
  • To edit a commodity, click Settings, Commodities and the edit tag next to a specific commodity.
  • You can change the Commodity Name, Price Per Barrel, Transport Hourly Rate or Demurrage Hourly Rate. Click SUBMIT to save changes.

Customers

  • Login to the Trakload application.
  • To edit a customer, click Settings, Customers and the edit tag next to a specific customer.
  • Click on PRIMARY to enter information for the primary contact, including name, address, city, state, zip, phone, and email click SAVE.
  • You can also change the commodity pricing for this specific customer and click SUBMIT.

Drivers

  • Login to the Trakload application.
  • To add a new driver, click Settings,Drivers, + New Driver.
  • Enter the driver's first name, last name, mobile number and email address and click SUBMIT.
  • The new driver will appear on the Driver List.
  • To edit a driver, click the edit tag next to a specific driver; make necessary changes and click SUBMIT.

Owner Operators

  • Login to the Trakload application.
  • To add a new driver, click Settings,Owner Operators, + New Owner Operator.
  • Enter the owner operator's first name, last name, mobile number and email address and click SUBMIT.
  • The new owner operator will appear on the Owner Operator List.
  • To edit an owner operator, click the edit tag next to a owner operator; make necessary changes and click SUBMIT.

Wells

  • Login to the Trakload application.
  • To add a new well, click Settings, Sites List, + New Well.
  • Enter the API Region, API Number and Lease Number and click SAVE.
  • The new well will appear in the list of wells.
  • And the well operator will appear in the Customer List.

Access Information from the Trakload Dashboard

  • Login to the Trakload application.
  • Click on Deliveries Enroute to access information about today's loads en route, including driver, destination, activity, start time and customer.
  • Click on Deliveries Pending to access information about today's loads waiting to be picked up, including driver, destination, activity, time request sent and customer.
  • Click on Deliveries Completed to access information about today's loads delivered, including driver, destination, activity, start time, customer and completed time.

Create a Ticket

  • Login to the Trakload application.
  • Click on Create a Ticket.
  • Click on the Lease Details to lookup the information for the specific lease. You will input the API Region, API Number, and the lease number. When you click SAVE, the county, operator, field and well number will auto populate on the ticket.
  • Enter a name in Requested By field.
  • Next select a commodity from the drop down, which is populated based on which well is selected.
  • Enter any notes you have.
  • Select the trucking company.
  • Select the driver.
  • Click SUBMIT TICKET.

How To For SWD Companies

Add a New Trucking Organization as an SWD Manager

  • Login to the SWD Application.
  • Click on Settings, Trucking Companies.
  • Click + Trucking Company.
  • Enter Company Name; if it shows up in "auto suggest", select that company otherwise type name and click CREATE.
  • Enter address information if it is a new organization.
  • Click SUBMIT to save the new organization.

Add a New Oil Company as an SWD Manager

  • Login to the SWD Application.
  • Click on Settings, Wells.
  • Click + New Well.
  • Click on MANAGE ADD-ONS, TRAKLOAD DATE, TEXAS RRC WELL BORES.
  • Find the County Code, API NO, Lease Number for a specific well at the oil company you wish to add.
  • Go back to the Lease Lookup pop up and enter the information you found for the lease. (Enter state in API Region, Enter County Code and API Number in API Number field and enter Lease Number in last field.)
  • Click SAVE.
  • Click on the OIL COMPANIES tab to see the new oil company listed for the well you just added.
  • Click the Edit tab next to the new oil company to add or edit contact information or custom commodity pricing.

Add a New User for an Organization as an SWD User

  • Login to the Administrative site.
  • Click on Manage Users, People.
  • Click ADD at the top of the screen.
  • Enter the user details in the Details tab; make sure to select the Organization from the drop down.
  • In the Permissions tab, add a Username and Password. Also select User or Manager from the drop down in Application Role - SWD.
  • Click OK to save the new user.

Add and Edit Information in Settings

Oil Companies

  • Login to the SWD application.
  • The list of oil companies is populated as tickets are generated for a specific oil company's well.
  • To edit information about an oil company, click on Settings, Oil Companies, and the edit icon next to the oil company.
  • Click on the PRIMARY contact box.
  • Enter contact name, address, city, state, zip, email and phone number and click SAVE.
  • You can also change the commodity pricing for that specific oil company and then click SUBMIT.

Wells

  • Login to the SWD application.
  • The list of wells is populated as tickets are generated for a specific well.
  • To add a new well, click Settings, Wells, + New Well.
  • Enter the API Region, API Number and Lease Number and click SAVE.
  • The new well will appear in the list of wells.

Transport Companies

  • Login to the SWD application.
  • To add a new transport company, click on Settings, Transport Companies, + New Transport Co.
  • Enter the company name and click CREATE.
  • Enter the Address, City, State, Zip, Email and Phone and click SUBMIT.
  • On the next screen, click on PRIMARY to enter information for the primary contact, including name, address, city, state, zip, phone, email and type of contact and click SAVE.
  • You can also change the commodity pricing for this specific trucking company and click SUBMIT.
  • The new trucking company will appear in the available list of transport companies.

Commodities

  • Login to the SWD application.
  • To edit a commodity, click Settings, Commodities and the edit tag next to a specific commodity.
  • You can change the Commodity Name or Price Per Barrel. Click SUBMIT to save changes.

Pipelines

  • Login to the SWD application.
  • To add a new pipeline, click Settings, Pipelines, + New Pipeline.
  • Select the Disposal Company name.
  • Enter the Pipeline Name.
  • Click on Lease Details.
  • Enter the API Region, API Number and Lease Number and click SAVE.
  • The lease details will appear on the Add Pipeline screen.
  • Select the Commodity Type.
  • Enter the Initial Reading for this pipeline and click SUBMIT.
  • The new pipeline will appear in the list of pipelines with information on the customer, lease/well, commodity, last reading, last reading date and pipeline name.

Access Information from the SWD Dashboard

  • Login to the SWD application.
  • Click on Truck Count to access information about today's trucks, including driver, commodity type, barrels dropped, start time and customer.
  • Click on Barrels Dropped to access information about today's barrels dropped, including driver, commodity type, barrels dropped, start time and customer.
  • Click on Pipeline Barrels to see daily totals for pipeline disposals, including pipeline name,amount, customer and well.

Create a Ticket

  • Login to the SWD application.
  • Click on Create a Ticket.
  • Select the name of the disposal company.
  • Click on the Lease Details to lookup the information for the specific lease. You will input the API Region, API Number, and the lease number. When you click SAVE, the county, operator, field and well number will auto populate on the ticket.
  • Next select a commodity from the drop down, which is populated based on which well is selected.
  • Enter total barrels disposed.
  • Select the trucking company.
  • Enter the driver's name and truck number.
  • Sign the form.
  • Upload a photo.
  • Click SUBMIT TICKET.
  • After you submit the ticket, you will see the Truck Count and Barrels Dropped increase on the dashboard.

Enter a New Pipeline Reading

  • Login to the SWD application.
  • Click on Pipeline Reading.
  • Select the pipeline name.
  • Enter the new reading, which must be a greater number than the previous reading.
  • Upload a photo, if desired.
  • Click SUBMIT TICKET.
  • Pipeline Barrels will appear on the dashboard after submission of the ticket.

Access Reports

  • Login to the SWD application.
  • Click on Reporting.
  • Click on Tickets to see today's tickets, including ticket number, customer name, dollar amount and date/time.
  • Click on Pipelines to see today's pipeline drops, including pipeline name, daily total, customer and well number.
  • Click on Daily Report to see a report of today's drops, including oil company, well number, well location, disposal company, barrels disposed, transport company, driver name and truck number.
  • Click on Invoices to see today's charges, including invoice number, customer, invoice total and date.

How To For Oil Companies

Add and Edit Information in Settings

Wells

  • Login to the SWD application.
  • The list of wells is populated as tickets are generated for a specific well.
  • To add a new well, click Settings, Sites List.
  • Select the well where you are located.
  • New tickets created will use this as the origination point for trucks requested.

Create A Ticket

  • Login to the Trakload application.
  • Click on Request a Truck.
  • Click on the Lease Details to lookup the information for the specific lease. You will input the API Region, API Number, and the lease number. When you click SAVE, the county, operator, field and well number will auto populate on the ticket.
  • Select the Trucking Company.
  • Enter any Notes you have.
  • Next select a commodity from the drop down, which is populated based on which well is selected.
  • Click SUBMIT TICKET.

How To For Trakload Site Administrators

Add a New SWD Organization as a Trakload Subscriber

  • Login to the Administrative site.
  • Click on MANAGE USERS, ORGANIZATIONS, ADD.
  • Add organization Name in Details tab.
  • Add IANA Time Zone in Contact Info tab.
  • In Org Types tab check SWD Co.
  • In Subscriptions tab check SWD.
  • In Control Info tab, SET GUID.
  • Click OK to save changes.
  • Go to MANAGE ADD-ONS, TRAKLOAD DATA, COMMODITY RULES DEFAULT.
  • For each commodity type, open the record and click DUPLICATE.
  • Change the ORGANIZATION to the new SWD company.
  • In the Control Info tab, SET the GUID.
  • Click OK to save changes.

Add a New SWD Manager or User

  • Login to the Administrative site.
  • Click on MANAGE USERS, PEOPLE, ADD.
  • In the DETAILS tab add Name, First Name, Last Name, Email, select Organization.
  • In the PERMISSIONS tab enter Username and Password and select Application Role - SWD as either Manager or User.
  • In the Control Info tab, SET GUID.
  • Click OK to save changes.

Add a New Trucking Organization as a Trakload Subscriber

  • Login to the site as an SWD Manager.
  • Click on SETTINGS, TRUCKING COMPANIES, + NEW TRANSPORT CO.
  • Enter Company Name. If it is already in the system, select it as it appears in the list; if it is not in the system, click CREATE.
  • Add Address, City, State, Zip, Email and Phone and click SUBMIT.
  • Alter commodity pricing if desired and click SUBMIT.
  • Login to the Administrative site.
  • Click on MANAGE USERS, ORGANIZATIONS.
  • Click the EDIT tag next to your new trucking organization.
  • In Subscriptions tab check Trucking.
  • Click OK to save changes.
  • Go to MANAGE ADD-ONS, TRAKLOAD DATA, COMMODITY RULES DEFAULT.
  • For each commodity type, open the record and click DUPLICATE.
  • Change the ORGANIZATION to the new SWD company.
  • In the Control Info tab, SET the GUID.
  • Click OK to save changes.

Add a New Trucking Manager or User

  • Login to the Administrative site.
  • Click on MANAGE USERS, PEOPLE, ADD.
  • In the DETAILS tab and Name, First Name, Last Name, Email, select Organization.
  • In the PERMISSIONS tab enter Username and Password and select Application Role - Trucking as either Manager or User.
  • In the Control Info tab, SET GUID.
  • Click OK to save changes.

Add a New Oil Company as a Trakload Subscriber

  • Login to the site as a Trucking Manager.
  • Click on SETTINGS, SITES LIST, + NEW WELL.
  • In separate tab login to Administrative site.
  • Click on MANAGE ADD-ONS, TRAKLOAD DATE, TEXAS RRC WELL BORES.
  • Find the County Code, API NO, Lease Number for a specific well at the oil company you wish to add.
  • Go back to the Lease Lookup pop up and enter the information you found for the lease. (Enter state in API Region, Enter County Code and API Number in API Number field and enter Lease Number in last field.)
  • Click SAVE.
  • Go back to Administrative site.
  • Click on MANAGE USERS, ORGANIZATIONS.
  • Find the new organization and click the edit tag.
  • In the Subscriptions tab check OIL.
  • Click OK to save changes.

Add a New Oil Company Manager or User
