Update an organization's Longitude and Latitude

  • The system automatically calculates Longitude and Latitude on all Organizations with blank fields each hour.
  • To update an existing Organization, clear its Longitude and Latitude and wait one hour.

Edit Home Page Slider

  • To edit sliders, login and click EDIT.
  • Click the paper/pencil icon next to the slider you want to edit.
  • You can edit the name, caption, image linked page or slider sort order.
  • Click OK to save changes.

Edit Home Page Audience Boxes

  • To edit content in these boxes, login and click EDIT.
  • Click the paper/pencil icon next to the box you want to edit.
  • You can edit the name, linked page or copy under the image.
  • Click OK to save changes.

Edit Home Page Popular Page Tiles

To get a page to appear in the home page tiles:

  • Login and click EDIT
  • Go to the page you want to appear and click the paper/pencil icon to go to the edit record.
  • Go to the HomePage Tile tab and click Enabled.
  • Add a caption and upload an image (285 px x 285 px).
  • Click OK to save changes.
  • To remove a page from this list, simply edit the page and uncheck the Enabled field in the HomePage Tile tab.

To select which library you want displayed on a page, go to the page, click on ADVANCED EDIT, click the WRENCH, select the Article Library from the drop down in that field and click UPDATE.

To Add/Edit Categories

  • Login and click ADMIN, MANAGE ADD-ONS, ARTICLE LIBRARY, ARTICLE LIBRARY CATEGORIES.
  • You will see a list of current categories.
  • Click the paper/pencil icon next to a category to edit it, or click ADD to add a new category.
  • Type the category in the NAME field.
  • Click OK to save changes.

To Add/Edit Articles

  • Login and click ADMIN, MANAGE ADD-ONS, ARTICLE LIBRARY, ARTICLE LIBRARY DATA.
  • You will see a list of current articles.
  • Click the paper/pencil icon next to an article to edit it, or click ADD to add a new article.
  • Type the name of the article and select the category from the drop down.
  • In the Copy field type text that you want to use to summarize the article.
  • In the Upload field click CHOOSE FILE to upload an article if your article is a file, such as a PDF, that you will store on the website.
  • If your article is on a website, type the URL in the LINK field. Enter the link as http://www.website.com
  • Click OK to save changes

To Add/Edit The Buyers Guide

  • Login and click ADMIN, MANAGE ADD-ONS, then BUYERS GUIDE and finally ORGANIZATIONS.
  • On the right side of your screen you will see a list of all organizations currently available on your website.
  • To edit information for an organization, click on the paper/pencil icon next to the name to open the record. Make any necessary changes and click OK to save them when you are done.
  • To add a new organization to the Buyers Guide, you will click ADD at the top of the screen.
  • In the DETAILS tab, you will enter the company name, address and additional contact information.
  • Click on the DIRECTORY tab and click on INCLUDE IN DIRECTORY to include this company in the Buyers Guide.
    • Here you will enter the company name, address phone, fax, email, web name and web link as you want it to appear in the directory. In the web box put the heading you want to appear for them to click on to take them to their website. The URL for the website should appear in the link field. Place an email address in the EMAIL field if you want website visitors to be able to email the company directly with a link from the supplier directory. Upload an image for the supplier to be shown in the list overview by clicking CHOOSE FILE in the LISTING IMAGE field. This opens a browser for your computer; select the image and click OPEN. Note: This image only shows for ENHANCED LISTINGS.
  • Click on the DIRECTORY PROFILE tab and click on IS ENHANCED LISTING if the supplier has purchased an enhanced listing.
    • Here you will add the profile contact and click on the PROFILE APPROVED BY ACCOUNT once they have reviewed the listing. THIS MUST BE CHECKED in order for the profile listing to show up in the Buyers Guide. Here you can also upload a profile image, which can be a larger image than that shown on the listing page. You will also enter the PROFILE DESCRIPTION for this supplier.
    • Every time an organization is added or modified and the IS ENHANCED LISTING field is checked, a process will automatically run to create a vanity URL for the organization, which will be http://www.tlpa.org/company-name. All spaces and single and double quotes in the name are replaced with dashes. The vanity URL is displayed when you click on the profile for the company.
  • Click OK when you are done to save changes.

Housekeeping Tasks

Housekeeping runs once per day and updates website data as needed. The time of day when it runs can set changed in TLPA settings, under navigator settings. Housekeeping does the following in this order:

MemberMax Sync 
  • A small sync runs daily, adding and updating only organizations and people edited on MemberMax. Weekly a full sync is run, updating all organizations and people. When a person is removed from Membermax, it is marked during the full sync and removed during the next week.
  • Changes to Organizations and People are copied from the MemberMax system to the website
  • Members are placed in the group MemberMax TLPA Members and non-members are put in the group MemberMax TLPA Non-Members
  • Directory Subcategories are created from MemberMax company keywords
  • Organization Subcategories are mapped to each organization based on MemberMax company keywords

Login, Data Management and Synchonization

Users are authenticated with one of two methods, local login and member login.

Local login is a username and password stored within the Contensive application database and can be accessed at the /admin url. This is reserved primarily for site administrators.

Member login lets users authenticate with their MemberMax username and password and is accessed through all other logins on the site. For security reasons, site administrators and developers cannot use this login method

Membership data is stored within MemberMax, and periodically copied to the Contensive site. Typically this will be once per day. Updates to member data on the website may be 24 hours old.

  • For sign in from members.tlpa.org, on the Membership Directory page or from the top banner login, if you are not logged in, MemberMax displays a login link. Clicking the login link takes you to the login page on www.tlpa.org. Fill out the form correctly and you will be returned to the MemberMax page where you started. For logout from MemberMax, the user clicks the logout link and is logged out for both MemberMax and www.tlpa.org, and is left on the TLPA website.
  • For sign in from www.tlpa.org, you see a link that requires you to login. Clicking the link takes you to the website login page. Login successfully takes you to the website home page. For logout from www.tlpa.org, the user clicks the logout link, and is logged out for both MemberMax and the TLPA website, and is left on the TLPA website.

To Run the Sync:

  1. Go to Settings, Advanced, Site Properties and delete the site property "TLPA HOUSEKEEP LAST EXECUTION"
  2. To test the Full sync, also delete the site property "TLPA LAST SYNC TIME FULL"
  3. On Manage Add-ons, edit housekeepProcess (for developers only).
  • On the Process tab, check the check box that says "Execute Once Now".
  • It will start within a minute.

To Test the Sync, make a change to an organization in MemberMax and MemberMax should then flag the change; run it in full sync mode, see if it changes.
Even if you want to test a change to a person's record, you must make a change to the organization record for MemberMax to recognize the change.

News List Add-on

This add-on enables you to add news stories to a news page and to have a specified number of the latest stories display on the home page.

  • To add or edit stories, login and click ADMIN, MANAGE ADD-ONS, NEWS STORIES, Story List.
  • You will see a list of current stories. Click ADD to add a new story or click the paper/pencil icon next to a story to edit it.
  • Enter the story title in the HEADER field.
  • Enter a brief overview in the STORY BRIEF field, which will appear under the story title on the news page.
  • Enter the text for the story in one of the three available fields:
  1. Use the STORY LINK field if you are using a story located on a webpage. Include http:// in the web address.
  2. Use the STORY DOWLOAD field if your story is from a PDF or similar file. For this story type, click CHOOSE FILE and then select the file from your computer and press OPEN.
  3. Use the FULL STORY field if you will include the content for the story in the story record. Just type the story into this field.
  • If you have an image to include, upload it in the IMAGE field.
  • Also put the date in the STORY DATE field.

Click OK to save the new story.

Buyers Guide Addon

The Buyers Guide lists suppliers to TLPA members in the categories Business Services, Fleet Comm Systems & Equipment, Parts and Accessories and Vehicle Mfg and Dealers. searches can be limited to a specific state or province if desired. To edit the listings in the Buyers Guide see To Add/Edit The Buyers Guide in the How To section above.

Advocacy Addon

This add on allows TLPA to present bills that they Favor or oppose and automatically create a letter that can be sent to their house representative or their senator signed by the user

  • Populate the Advocacy Issues Table with the bill that is being lobbied for
  • Enter the name of the bill
  • Give a brief overview
  • Identify the sponsor of the bill
  • Check the box on whether TLPA is for or against the bill
  • Present position details
  • Identify the bill date
  • Fill in the letter content on what you want the letter to the congressmen or senators to say

To Set Up the Fax Feature

  • Open an account with ring central
  • In admin scroll down to settings
  • Open advanced
  • Click on site properties
  • Find advocacy email from-address
  • Enter a valid ring central email address
  • Go back to site properties
  • Find advocacyemailfromaddress "one word"
  • Enter a valid ring central email address
  • Click OK

Find A Ride Addon

This feature enables members to search for a taxi, limo or paratransit company near them.

Users can search in the US by city/state or zip code and internationally by country.

Searches can be limited by type of vehicle: taxi, limo or paratransit.

Results for each company include organization name, logo, phone number, address, city, state, zip and country.

NOTE: For an organization to appear in the Find A Ride results:

  • In the MemberMax Data tab, the Member Type must be Fleet Operator.
  • In the Directory tab, Include in Directory must be checked.
  • If someone doing a search clicks on Taxi, Limo or Paratransit to search for a specific type of vehicle, then the field Taxi Count, Limo Count or Paratransit Count must be greater than 0 to show up in the search.
  • If someone is searching by zip code, the organization must have correct data in the Longitude and Latitude fields.

Home Page Login

For sign in from www.tlpa.org, you see a link that requires you to login. Clicking the link takes you to the website login page. Login successfully takes you to the website home page. For logout from www.tlpa.org, the user clicks the logout link, and is logged out for both MemberMax and the TLPA website, and is left on the TLPA website.

Home Page Slider

The home page slider add-on allows you to put a new image on the home page in the slider open the slider images table

  • Name the slider You are creating
  • By checking active this will populate the current slider that is running
  • Caption Allows you to add a caption to the slider
  • Image Upload self explanitory this is the image that you are adding * Note the image size should be 1200px x 500px
  • site link allows you to add a link to the image if you click on it
  • Alpha sort order allows you to sort the images alphibetically

Membership Directory

This directory provides a search of TLPA members by city/state or zip code for US members or city/country for international fleet operators. Searches can also be carried out by last name or first name of the organization contact and by organization name.

The types of members included in the search are US Fleet Operator, US Public Sector, International Fleet Operator, Associate Member and Trade Association.

Results include contact name, address, city, state, zip, country, toll free numbers, fax numbers and other numbers that vary by member type as specified below:

  • US Public Sector and Trade Association members will list the Phone number (comes from Main Phone field in the organization record).
  • Associate Members will list Sales phone number (comes from Sales Phone field in the organization record).
  • US and International Fleet Operators will list the Administrative number (comes from the Main Phone field in the organization record) and the Reservations number (comes from the Sales Phone field in the organization record). In addition, when users check the taxis, limos, and/or paratransit boxes, search results will only display operators with ALL types of transportation checked and will include a count of each type of vehicle the company owns.

Additional information provided in each search result is Service Description (if provided), logo, primary contacts and their title.

NOTE: To display in the Membership Directory, an organization must list one of the following in the Member Type field in the MemberMax Data tab:

  • Fleet Operator
  • Public Sector
  • Associate
  • Association

The Fleet Operator membership type has US members if US is the country and international if US is NOT the country.
If someone is in the MemberMax database that has not joined TLPA their Member Type is listed as Not A Member.

There is a member logo scroll on the home page that displays the logos of organizations pulled from MemberMax that are associated to valid membership accounts. They will display in alphabetical order.
